Terms and Conditions

1. Acceptance of Terms

By registering, attending, or participating in the conference (in-person or virtually), you agree to be bound by these Terms and Conditions. These terms apply to all individuals, including speakers, delegates, exhibitors, and sponsors.

2. Registration and Payment

  • All registration fees are listed in U.S. Dollars (USD).
  • We accept payments through the following methods: online payment platforms, including PayPal and Stripe, as well as direct bank transfers.
  • Registrants are responsible for all bank and transaction fees.

3. Cancellation and Refund Policy

  • All cancellation requests must be submitted in writing via email to the Conference Secretary
  • Cancellations made before 90 days of the conference start date will be eligible for a full refund, minus a $100 administrative fee.
  • Cancellations made within 90 days of the conference start date are non-refundable. However, the registration may be transferred to a future edition of the conference.
  • Registration transfers are allowed until conference start date. No transfer requests will be accepted after this date.
  • All approved refunds will be processed during the second week following the conclusion of the conference. 

Note: The above refund and cancellation policy does not apply if the event is postponed, rescheduled, or disrupted due to circumstances beyond the organizer’s control. Such circumstances may include, but are not limited to, natural disasters (e.g., earthquakes, floods, hurricanes), acts of God, force majeure events, fire, epidemics or pandemics, government regulations or travel restrictions, civil unrest, war, terrorism, industrial actions or strikes, sabotage, cyber-attacks, power outages, or communication failures. In these situations, all registration and accommodation fees will be automatically transferred to the rescheduled event or a future edition of the conference or a related event. Refunds will not be issued under these conditions. 

4. Force Majeure

The organizers shall not be liable for any delay, alteration, postponement or cancellation of the event due to unforeseen circumstances beyond their control, including but not limited to:Natural disasters (earthquakes, floods, hurricanes, storms)

  • Acts of God or other force majeure events
  • Fire, explosion, or structural damage
  • Epidemics, pandemics, or public health emergencies
  • Government regulations, restrictions, or travel bans
  • War, terrorism, sabotage, civil unrest, or threats thereof
  • Industrial disputes, strikes, or labor shortages
  • Cyber-attacks or IT system failures
  • Power outages or communication breakdowns

In such events, no refunds will be issued. Instead, all paid registration and accommodation fees will be transferred to a future edition of the same or related conference organized by us.

5. Event Modifications

The organizers reserve the right to:

  • Change the program schedule, speakers, topics, or session formats
  • Modify the event venue or host city
  • Shift the mode of delivery (e.g., from in-person to virtual or hybrid)

All changes will be communicated to registered participants via email and/or posted on the official website. Participants are responsible for checking updates regularly.

6. Travel and Accommodation

  • Participants are responsible for making their own travel and accommodation arrangements, unless stated otherwise.
  • For convenience, accommodation options are listed on the official conference website. However, participants are free to book independently.
  • The organizers are not responsible for cancellations, financial loss, or inconvenience arising from changes to travel or hotel bookings.

7. Code of Conduct

We are committed to providing a safe, inclusive, and respectful environment. All participants must:

  • Act professionally and respectfully towards others
  • Avoid any form of harassment, discrimination, or inappropriate behaviour

Violations may result in immediate expulsion from the event without refund, and in severe cases, reporting to relevant authorities.

8. Liability

The organizers are not liable for:

  • Any personal injury, illness, or accident occurring during the event or as a result of attending the event.
  • Loss or damage to personal belongings
  • Any expenses or losses incurred as a result of cancellation, delays, or disruptions beyond the organizers’ control

9. Use of Likeness

By attending the conference, you agree to be:

  • Photographed, filmed, or recorded
  • Your likeness may be used in promotional materials, websites, and social media, without compensation

If you wish not to be included in such media, please notify the organizers in advance.

10. Data Protection and Privacy

  • Personal data collected during registration will be processed in accordance with our [Privacy Policy].
  • We never sell, rent, or trade your personal data. We may, however, share it with trusted payment processors (such as PayPal or Stripe); third-party service providers that assist with event logistics; hosting partners or virtual-platform providers for hybrid or online events; and, when legally required, government authorities—for example, to issue visa letters or comply with tax regulations.

11. Updates and Notifications

It is the participant’s responsibility to:

  • Stay informed of any changes to the conference schedule, format, or venue
  • Regularly check the official conference website and email for updates
